Still on paper
Every order started with a printed pick list. That slowed pickers down and made it easy to put the wrong item in the box.
Pen Store is Sweden's go-to shop for pens, brushes, paints, canvases and easels, with a webshop and a store in Stockholm. As demand grew, paper pick lists and manual receiving stopped keeping up. On Bitlog WMS Advanced, the team traded paper for a guided app, added batch picking, and had digital warehouse operations running within days.

“As a growing company, we were struggling to handle a wider range of products and more orders. We simply couldn't keep up the level of service we wanted to.”
Pen Store was founded in 2010 by Jacob Bergström and built its name online, selling pens, brushes, art materials, canvases and easels to customers across the Nordics.
It runs a physical store in Södermalm, Stockholm, and a warehouse in Västberga, just south of the city. Today the catalog spans roughly 13,000 unique items, from fine-liner pens to full-size easels. That range of products is the whole point of the business, and it's exactly what makes the warehouse hard to run well.
In July 2026, Pen Store was acquired by Bokusgruppen, with founder Jacob Bergström staying on as CEO.
With a broad, fast-moving range and rising demand, Pen Store needed real inventory control, not another workaround.
Every order started with a printed pick list. That slowed pickers down and made it easy to put the wrong item in the box.
Goods came in and were typed in by hand. It was slow, easy to get wrong, and it meant stock counts were off from the start.
A busy webshop can't sell something that isn't on the shelf. Without live stock levels, that risk was always there.
Pen Store chose Bitlog WMS because it already did what an e-commerce warehouse needs, with no customizations. For a small team running a large catalog, that mattered: less to build, less to maintain, and less that can break later.
Being cloud-based sealed it. Bitlog is updated all the time based on how customers actually use it, so the system keeps getting better instead of falling behind, and it grows as the catalog and order numbers grow.
The last thing that mattered was how fast it went live. Connecting Bitlog to the webshop and the ERP was quick and simple, and the app was easy enough that staff learned it fast, with no long training before the warehouse could depend on it.
Pen Store runs Bitlog WMS. It covers the whole flow, from goods coming in to orders going out, on one app the whole team uses.
The app walks staff through the warehouse instead of a paper list, so orders move faster with fewer wrong picks.
Learn morePickers collect several orders in one pass, which cuts the pick time per order across a high-volume, small-item catalog.
Learn moreScanning speeds up inbound, confirms the right product is going to the right customer and outbound.
Learn moreStock updates itself as goods move, saving time on stock checks and cutting the risk of overselling on the webshop.
Learn more“Bitlog is a far more efficient way for us to work. We scan everything on the way in and on the way out, and every pick gives us a correct stock balance and a much smoother flow.”
Most warehouses that carry 13,000 items, from a marker pen to a wooden easel, expect to change the software to make it fit. Pen Store didn't have to. Bitlog handled the e-commerce work out of the box, connected to the existing webshop and ERP with no custom build, and was easy enough that the team was up and running within a few days. The hard part of most rollouts, getting a system to match how you already work, was mostly gone before it started.
“We now know that we have a system we can rely on throughout the entire process.”
The paper's gone, receiving is faster, and the webshop shows stock the warehouse can actually deliver.
Collecting multiple orders in one pass brought down the pick time per order across the catalog.
Barcode scanning replaced manual entry, so goods reception is quicker and less error-prone.
Automatic inventory balance keeps webshop stock honest and cuts time spent on manual stock checks.
Quick webshop and ERP integration plus an intuitive app meant the team was operational fast, with no customizations to wait on.
For Pen Store, moving to Bitlog WMS turned a manual, paper-based warehouse into a system the whole team can rely on. Guided picking and batch picking cut the time spent on each order, barcode scanning made receiving faster and more accurate, and automatic inventory balance keeps the webshop from selling stock that isn't there.
Because Bitlog fit Pen Store's e-commerce setup with no customizations and connected to the webshop and ERP quickly, the team was productive within days rather than months.
As a cloud platform that keeps improving, Bitlog WMS gives Pen Store room to add products and orders without outgrowing the system again.
Guided, batch-based picking on the app cut the pick time per order and took paper out of the process entirely.
Automatic inventory balance means the webshop reflects what's really on the shelf, with far less manual checking.
No customizations, quick webshop and ERP integration, and an app the team learned in days.
